CWA Privacy Policy - HR and Board Members 

Who we are

The Community Woodlands Association (CWA) is a Scottish Company Limited by the Guarantee (No: SC275097) and Charity (No: SC038374). Our Registered Office is: Old Poltalloch, Kilmartin, Argyll, PA31 8RQ. 

This privacy notice tells you what data we collect and what we use it for. 

What information do we gather, and how do we use it? 

Employee

  • CWA requires your personal data, including National Insurance number and bank details, at the point of employment to be able to communicate with you, and to identify you have a right to work in the UK.  

  • This information is used to identify your right to work in the UK, and to set up salary payments.  

  • HR data is kept for a period of at least 6 years following the termination of employment; some personal financial data will be destroyed after 2 years; Health and Safety information must be held for a minimum of 40 years. 

Board Members  

  • CWA requires your personal data including your bank details. 

  • CWA requires your personal date in order to communicate with you and to be able to register you as a Director of a Limited Company, which is then shared with Companies House. You will also be asked to declare any conflict of interests.  

  • CWA may also provide your personal data if required, to third parties such as grant giving bodies, internet payment services (Stripe) and others in order to satisfy legislative or requlatory requirements to enable us to operate effectively.  

Your rights over your information 

By law, you can ask us what information we hold about you, and you can ask us to correct it if it is inaccurate. 

You can also ask us to give you a copy of the information and to stop using your information.
